CITY COUNCIL SPECIAL MEETING MINUTES

September 8, 2020 - 5:30 p.m. - City Hall

A special meeting of the Lenox City Council was called to order by Mayor Douglas on September 8, 2020 at 5:30 p.m. at City Hall with the following council members answering roll call: Bowman, Brown, Zabel and Cruz; Tull was absent. Staff present was City Administrator, Allison Kitzman and City Clerk, Dawne Bowman. Colleen Larimer was present and Phil Parrott with Shive- Hattery was present electronically.

Bowman made a motion to approve the agenda, seconded by Brown, all ayes, motion carried.

Phil Parrott, Shive- Hattery discussed the proposed bidding plan for the repairs on the library. There are currently 3 contractors interested in bidding the job and the colors selected for the building should be in soon for council to look at. These plans discussed what will be removed and how to repair it. There will be a Base Bid to include repair of south and east walls and covering the basement windows, and there will be an Alternate Bid to repair the south and east walls and add new windows to the basement. There was discussion on the current main entrance of the library and what type of work will be done on that to make it match the newly renovated portion of the building. The plan is to paint the current siding to match the rest of the library. There was discussion regarding the bids amounts and possibly renovating the main entrance at the same time, rather than waiting. Kitzman explained that the council's priority was to get the building water tight at this time. Parrott discussed the time line of events with the beginning construction date of 10/15/20 and a completion date of 12/30/20. It was the council's decision to push the completion date back to June 30, 2021 to possibly get more bidders and allow them more time to complete the project.

Brown moved to adjourn the meeting, Cruz seconded, all ayes, motion carried. Meeting adjourned at 6:00 P.M.
